Works Measurement Book System

Measurements, abstracts and deviations, approved online instead of on paper.

Overview

The Works Measurement Book System takes the paper measurement book of a works contract online. Vendors record measurements against the line items of a purchase order, raise abstracts for billing and propose deviations. Approvers review, approve, reject or send work back for rework, and administrators manage regions, offices, staff, vendors and the formulas behind the calculations.

Material consumption for cement, bitumen and steel is reconciled with uploaded test data, and statements and reports export to Excel.

  • Cement, bitumen and steel reports

Features and modules

What Measurement Book includes.

Purchase orders and line items

Contractors see the purchase orders assigned to them and work against each line item, by warehouse.

Measurement books

Create measurements with activities and formulas, edit, save, resend for approval and view every measurement book, including ones not yet linked to an abstract.

Bill abstracts

Raise abstracts from approved measurements, with charges and attached files, and print them for billing.

Deviation statements

Create deviations, run them through their own approval flow and view the full list.

Approval workflow

Approvers see pending measurements and abstracts, and can approve, reject with a reason or return for rework. Every action is logged.

Calculation formulas

System formulas and units are maintained by the administrator, so measurements calculate the same way every time.

Cement, bitumen and steel consumption

Upload test data and see consumption reports, with test check statements for review.

Regions, offices and warehouses

Create regions, regional offices, staff, vendors and warehouses, then assign approvers and offices to them.

Rejected and deleted records

Admin views of rejected and deleted measurement books, with the audit trail.

Excel reports

Abstracts, deviations, consumption and test statements export to Excel.

How it works

A typical flow.

  1. The administrator sets up regions, offices, vendors, approvers and formulas

  2. A purchase order is assigned to a vendor and a warehouse

  3. The vendor records measurements against its line items and submits them

  4. The approver approves, rejects or returns them for rework

  5. Approved measurements go into an abstract, deviations are handled the same way, and reports are exported
